Germany Student Visa from Nepal: Process, Documents, Timing

How the German Embassy in Kathmandu handles student visas — appointments, the full document checklist, APS status, processing times, and why files fail.

In the weeks before the October intake, appointment slots at the German Embassy in Kathmandu disappear the way Dashain bus tickets do. Students refresh the portal at midnight. Some hire cousins to refresh it for them.

That scramble is the single most misunderstood part of getting a Germany student visa from Nepal. Families assume the hard part is the interview. It is not. The hard part is arriving at the interview on time, with a complete file, before your semester starts without you.

Here is how the whole process actually runs, from Kathmandu.

How the process works at the embassy

Every Germany student visa from Nepal is a national visa for study purposes, and everything goes through the German Embassy in Kathmandu — there is no outsourced visa centre for this category as of early 2026, so check the embassy website for the current appointment procedure before you plan anything.

The sequence is rigid. Admission letter first. Then blocked account funded and confirmed, health insurance arranged, documents translated and ordered. Then the appointment, where you submit the file and sit a short interview, usually in English, occasionally probing your German if your course demands it. Then you wait. The embassy forwards files to the foreigners’ authority in your German city, which is why processing commonly takes six to twelve weeks and sometimes longer in peak season. Nobody can reliably expedite this. Anyone who promises otherwise is selling something.

Work backwards from your semester start and the arithmetic gets tight fast. October enrolment means lodging by June or July. April enrolment means lodging by December or January — which, helpfully, avoids the worst appointment congestion.

On the day itself, expect something quicker and duller than the horror stories suggest. You hand over the file, pay the fee, answer perhaps ten minutes of questions about your course, your funding, and your plans. Dress normally. The officer has read your documents; what they are checking is whether you have.

The document checklist

Every embassy file we prepare contains, at minimum:

  • Valid passport, plus your old passport if you have one
  • University admission letter (or conditional admission with a language course)
  • Blocked account confirmation for the current amount — around €11,904 as of early 2026; confirm before you lodge
  • Health insurance confirmation valid from your arrival date
  • Academic documents: +2 transcripts and certificates, bachelor’s transcripts and provisional or final degree from TU, KU, or Pokhara University, all with certified translations where required
  • Language evidence: IELTS or equivalent for English-taught courses, Goethe or ösd certificates for German
  • NOC from the Ministry of Education at Keshar Mahal
  • Motivation letter and CV
  • Demand drafts or fee payment as the embassy currently specifies

The embassy publishes its own checklist and updates it without ceremony. Print the current version the week of your appointment, not the version a Facebook group screenshotted last year.

Does APS apply to Nepal?

Students who follow Indian education forums panic about APS — the Akademische Prüfstelle certificate that Indian, Chinese, and Vietnamese applicants must obtain before a visa appointment. As of early 2026, Nepali applicants are not routed through an APS check; your academic verification happens through uni-assist or the university itself. That said, APS regimes have expanded to new countries before, so treat this as a fact to re-confirm on the embassy website the month you apply rather than a permanent truth.

Why files fail

The embassy rarely rejects Nepali students for weak grades. Files fail on coherence. A 27-year-old with a BBA applying for a master’s in logistics who cannot explain the connection in two sentences. A four-year gap with no story — the gap itself is fine, the silence about it is not. A motivation letter obviously written by a consultancy, which interviewers in Kathmandu have read a thousand times and can smell instantly.

Money problems come second. A blocked account funded three days before the appointment raises questions about where the money came from. If the funds trace to an education loan against property or a relative’s support, document that chain cleanly — sanction letters, relationship proof, the works.

A student from Dang we worked with had been refused once before coming to us. Strong file on paper, but he had answered “Why Germany?” with memorised lines about world-class education and could not name his own course modules. We spent two sessions on nothing but his own honest reasons. Same documents, second attempt, visa granted. The interview is short, but it is a real conversation, and rehearsed emptiness fails it.

One more quiet killer: inconsistencies. A date of birth that differs between your +2 certificate and passport — common where old documents used Bikram Sambat conversions — must be resolved before you lodge, not explained at the counter.

And a word on timing that surprises people: a refusal is not the end. You may reapply once the weakness is fixed, and a well-repaired second file often succeeds. But a refusal costs you an intake, sometimes a full year, and the appointment scramble starts over. The cheapest fix is the one made before the first attempt.
